The primary purpose of the Manatee County Veterans Services Conference Room and associated spaces is to conduct official Veterans Services business. When not in use by Veteran Services, the Board of County Commissioners, or Manatee County departments, the space may be made available to Veteran Groups, Community Partners, and Veteran-related organizations in both the public and private sectors.

The Veteran Services Manager is responsible for administering all reservations and reserves the right to modify or terminate a reservation at any time. All activities must be conducted in an orderly manner and in full compliance with applicable laws, regulations, and Veteran Services policies. Use of the space must not interfere with regular Veteran Services operations.

Reservations are available on a first-come, first-served basis and are limited to one reservation per month per location.

  • Requests may be submitted up to 60 days in advance and no later than 48 hours prior to the requested date.
  • Rooms may only be reserved during regular Veteran Services hours, beginning no earlier than 30 minutes after opening and ending no later than 30 minutes before closing.
  • The space may not be used for private parties (e.g., birthdays, showers, receptions, or athletic activities) that would disrupt regular business operations.

Reservation approval must be received in writing before advertising an event or meeting.

  • The Veteran Services name, address, logo, or images may not be used in promotional materials for non–Veteran Services events.
  • Approval to use the space does not constitute endorsement by Manatee County; promotional materials must include a statement to this effect.
  • Events held in the conference room are not considered Veteran Services programs and will not be promoted through Veteran Services marketing channels.
  • Veteran Services reserves the right to reassign rooms or cancel reservations as necessary.
  • Signage from outside groups is limited to the reserved room and only during the scheduled time.
  • Upon arrival, users must check in with staff and may be required to present photo identification. • Staff are responsible for setting up tables, chairs, and county-owned technology.
  • Groups using audiovisual equipment must provide their own laptops or devices.
  • Applicants are responsible for compliance with ADA and other applicable legal requirements.
  • Decorations must be freestanding; materials may not be affixed to walls, windows, doors, or furnishings. Prohibited items include glitter, confetti, candles, and open flames.
  • Users are responsible for cleanup within the reserved time. Damage to facilities or equipment may result in fees and denial of future reservations.
  • Veteran Services assumes no liability for events held in the facility or for any loss, damage, or expenses incurred during use.
