Page Options

You may need to make changes in the following areas under Page Options in the toolbar:

  • Page Properties - Change the featured hero image, page owner, add a search description, schedule release/expiry/archive date
  • Metadata... - Add a caption to your featured photo and add keywords for search
  • Page Order - Re-order subpages in the sidebar navigation (must be on a parent page)
  • Page Status - Hide subpages from the sidebar navigation (must be on a parent page)
  • View Subpages - View all subpages, including hidden ones (must be on a parent page) - This is how you access hidden pages
  • Archived Subpages - View all archived subpages, unarchive subpages (must be on a parent page)

Page Properties

Page Properties

Title and Name - Should be autofilled. If you change the page title, make sure the Page Name does not change or the URL will break. 

Page Type - Should be Content Space Page (or Department Page).

Summary - Brief 1-2 sentences about the page. This will show up in search results on the internal search.

Theme - Should be Inherit (or New subpage if you have a custom featured hero image).

Icon, Category - Leave blank.

Featured Image - Should be blank unless you have a custom featured hero image.

Page Owner - This should be you or whoever is going to be maintaining the page. There can only be one page owner. 

  • Click the icon next to the current page owner's name.
  • In the popup, search for your name, then click the Add button. Select the exiting name below and click the Remove button. Then click OK. 
  • Propagate the Change of Ownership to all Subpages - Check this if all new pages created under this page will have the same Page Owner.

Last Modified - Shows when the page was last edited.

Release Date - Schedule the page to show up in navigation on a certain date/time. 

  • NOTE: The page still becomes "live" when you click Publish, but it can only be accessed by a direct link. It will show up in navigation on the Release Date.

Expiry Date - Schedule a date/time for the date to disappear from the navigation.

  • NOTE: The page will still be "live" after the Expiry Date, but it can only be accessed by a direct link. It will no longer show up in navigation. To remove a page so it is not accessible at all, even from a direct link, you will need to archive the page. (See Follow-up Tasks below.)

Follow-up Tasks - A useful tool to send yourself (or the Page Owner) a reminder to review a page or to set a page to archive automatically.

  • Review - Select a date and the CMS will send you a reminder to come back and review the page. (Useful for if you know you need to come update a page after an event occurs or deadline passes.)
  • Archive - Select a date for the page to be archived. If you want the page to be completely removed from the website (not even accessible from a direct link), this will automatically Archive the page on that date. You can re-publish archived pages. (Useful for recurring programs or events that you don't want anyone to find online during the rest of the year.)
  • Move - Select a date for the page and/or its subpages to be moved. This is primarily useful when you have pages that will become outdated but need to stay online in some kind of archive.

Metadata...

You will need to access Metadata to add keywords to make sure your page shows up in appropriate search results. You can also use Metadata to add a caption to your featured hero image.

Page Header Title - Use this field to enter a caption for your featured hero image.

Search > Description - Enter keywords here for search. This will ensure your page shows up at the top for searches with these keywords. You may want to include synonyms and common misspellings for your page.

Page Order

You must be on the parent page to change the page order. This will open a popup that lists all the subpages. Click and drag the pages to re-order how they appear in the sidebar navigation.

Page Status

You must be on the parent page to change the page status of its subpages. You can do three things with a subpage under Page Status:

  • Hide section - This hides an entire section of pages. You will likely never need to use this option. If you think you want to use this option, contact the Site Administrator.
  • Hide selection - This hides a subpage from the navigation. This can be useful if your page has a large number of subpages and you don't want them to clutter up the navigation, or if you have a subpage you only want people to access through a direct link.
  • Archive - Check the page you want to archive, then click the Archive button. This will remove the page so it is inaccessible, even from a direct link. The page can be unarchived at a later time.

View Subpages

If you have a hidden subpage, you can only get to it by going to View Subpages on the parent page and clicking the page in the list.

Archived Subpages

If you have archived a subpage and would like to unarchive it, go to Archived Subpages while on the parent page.
