Action Requested
Adoption of Resolution No. 14-005 providing for changes to the policies and pricing schedules for the Manatee Convention and Civic Center and Crosley Estate; and establishing the policies for the Approved Caterer Program for both facilities.

Background Discussion
  • Manatee County Purchasing Department has contracted with Milan Catering and Event Design LLC to act as the non-exclusive Convention Center Facilities In-House Food and Beverage Service for both the Manatee Convention Center dba Bradenton Area Convention Center and the Powel Crosley Estate.  
  • The contract is being prepared and signed for year three.
  • Each facility also has its own Off-Site Caterer Program which allows other caterers to provide services as well.  Each program is slightly different based on facility markets and needs.
  • For brand consistency the Convention Center and Crosley Estate will begin advertising them as the In-House Food and Beverage Service.
  • The Off-Site Caterers List for each facility will be provided by request of the customer and is not advertised on websites or initial sales materials.

For the Convention Center Off-Site Caterer Program:

  • Off-Site Caterer commission due Center is being changed from 10% of gross receipts to 15% of gross receipts. In-House Food and Beverage pays 12% of gross receipts.
  • Off-Site Caterers are instructed to showcase their name by providing signage at the catering site.
  • Off-Site Caterers are asked to bring required potable water as they have no kitchen access.
  • Off-Site Caterers are required to have any rental equipment picked up at the conclusion of the event or to be assessed a fee of $250.
  • Rather than the previous finance charge by percentage, a $100 per month fee will be assessed for every month a catering payment is late with a maximum of three months.  Caterers with outstanding fees at that point would then go into a removal process, eliminating them from the Off-Site Caterer's list.

For Crosley Estate Off-Site Caterer Program:

  • The catering commission is due on gross receipts including food, rentals, and labor.
  • To better control rentals, the Off-Site Caterers are now required to order, handle, and run through their billing all rental items excluding specified items such as: clothing, transportation, flowers, cakes, entertainment, and wedding planners.
  • Off-Site Caterers are required to have any rental equipment picked up at the conclusion of the event or be assessed a fee of $250.
  • Off-Site Caterers are instructed to showcase their name by providing signage at the catering site.
